The Account Owner holds the highest level of authority in menumiz™, with comprehensive access to oversee all modules and the authority to create additional admin users. This pivotal role is primarily responsible for the initial setup and ongoing configuration of the system, with full privileges to adjust any settings.
- Highest Authority: The Account Owner, also known as the Super Admin, has the ultimate control within menumiz™, with the ability to manage all aspects of the system.
- Initial Setup: This role is responsible for the initial setup and ongoing configuration of the menumiz™ ePOS system.
- Full System Access: The Account Owner can adjust any settings and has the authority to create additional admin users.
User Level Access and Device Roles
- Customizable Permissions: User permissions can be tailored to match the responsibilities of each staff member, ensuring they have access only to the necessary features for their job functions.
- Role-Based Access: Users are assigned specific roles, such as Manager, Waitstaff, or Cashier, with each role having distinct access rights to perform tasks effectively.
- Assign Roles and Permissions: Assign roles and customize permissions for each user and device to maintain operational efficiency and system security.
- Device Uptime: Keep critical devices, especially those assigned to MOAP Utility App, active and operational at all times.
- Monitor and Update as Needed: Regularly review user access levels and device performance to ensure they are meeting the needs of your restaurant’s operations.
Devices Configuration as Users
- Adding Devices as Users: Add devices to the menumiz™ ePOS system as users, assigning each a role that corresponds their function within the business’s operations.
- Dedicated Roles for Devices: Devices such as tablets or POS terminals are configured with user roles that align with their operational purposes, such as order taking, payment processing, or managing the serving counter.
- Continuous Operation: Keep devices in critical roles, such as the MOAP Utility App, operational at all times to prevent disruptions in automated processes like order retrieval and printing.
- Seamless Integration: Integrate devices into the menumiz™ system to work in harmony with other components, such as the Collection Screen, for real-time order status updates.
NOTE: The Account Owner cannot be removed by other users, ensuring stable and continuous control over the menumiz™ system.
Admin
Admins are users with full system access, though they use a username for login.
- Full System Access: Admins have complete access to all system modules and functionalities, using a username to log in.
- User Management: Admins can manage other users but cannot remove the Account Owner.
- System Setup: This role is essential for starting the menumiz™ journey, including registering the account and configuring the system.
User Level Access and Device Roles
- Customize Access: Assign roles and tailor access for each admin user and device to maintain operational efficiency and system security.
- Monitor Device Activity: Ensure that devices with critical roles, especially those assigned to the MOAP Utility App, are always active and operational.
- Review Access Levels: Continuously monitor and update admin access levels and device roles to ensure they meet the business’s operational needs.
Device Configuration as Users
- Operational Roles: Devices such as tablets or POS terminals are assigned roles that align with their operational purposes, such as managing orders, processing payments, or overseeing the serving counter.

Manager
Managers in the menumiz™ ePOS system are granted extensive access to facilitate daily operations, but their permissions come with certain limitations to maintain system integrity and hierarchy.
User Level Access and Device Roles
- Admin and Account Owner Restrictions: Managers are not authorised to remove other admins, stockholder or the Account Owner, ensuring the highest level of system control is maintained.
- Subscription Plan Control: Only the Account Owner has the authority to change the subscription plan, preserving the primary user’s exclusive control over financial aspects.
- Password Assistance: While managers can assist with password resets for general users, they are not permitted to reset passwords for Admins or the Account Owner, upholding administrative security.
Device Configuration as Users
- Operational Roles: Devices are assigned roles that align with their functions, such as order management or payment processing.
- Device Uptime: Devices with essential roles, like those assigned to the MOAP Utility App, must remain operational to ensure the system’s automated processes function correctly.

Waiter
Waitstaff are essential to your business’s daily operations. Within the menumiz™ ePOS system, they are provided with specific access to perform their roles effectively:
- menumiz™ Page: Waitstaff can view this page for operational information and tools necessary for their duties.
- Profile Management: Waitstaff have the ability to access and manage their own profiles within the system and to keep your profile updated with current information to ensure smooth communication and system interaction.
User Level Access and Device Roles
- Assigning Access: Assign roles and customise access for each waitstaff member and their devices, ensuring they have the necessary tools to serve customers effectively while maintaining system security.
- Monitor Device Activity: Keep track of devices used by waitstaff to ensure they are functioning correctly and being used within their designated permissions.
- Review Access Levels: Continuously monitor and update waitstaff access levels and device roles to ensure they align with your business’s operational needs and security protocols.
Device Configuration as Users
- Operational Roles: Devices are assigned roles that align with their functions, such as order management or payment processing.
- Waitstaff Device Usage: Set up devices for waitstaff to facilitate order taking and customer interaction, without providing access to financial transactions or order history.
Limited Access for Waitstaff
- Order Management Access: Waitstaff have full access to Order Management but do not have the ability to view order history.
- System Access: Waitstaff can access the menumiz™ Page and manage their personal profiles.
NOTE: Waitstaff are not authorised to process refunds in Order Management. Refund processing is exclusively handled by admins, managers, or accountants.
Cashier
Cashiers are essential to managing the financial transactions within your business. In the menumiz™ ePOS system, they are provided with access that is specifically designed for their transactional roles:
- Payment Processing: Cashiers are authorised to process payments, apply discounts, and handle cash transactions.
- Order Management: They can view and manage customer orders to ensure accurate order fulfilment and billing.
- Transactional Focus: Cashiers’ access is limited to transactional duties and does not include administrative functions like system settings or user management, to maintain security and focus.

NOTE: Cashiers should be aware that processing refunds in Order Management may be restricted and typically requires authorization from admins, managers, or accountants.
Accountant
Accountants are responsible for managing the financial management of your business, utilising menumiz™’s extensive reporting features to maintain precise financial records are accurate and well-organised.

Limitations for Accountants
Restricted System Changes: While accountants have access to financial records and reporting, they are not permitted to make changes to system settings or user permissions, which are reserved for higher-level admin roles.

- Printers: They can operate printers for service-related tasks.
- menumiz™ Page: Representatives have access to the menumiz™ Page for essential operational tools and information.

- Integration with Service Components: Devices are integrated with service-related components of the system, such as the Collection Screen, to provide real-time updates and support for customer service activities.
Restrictions for Customer Service
Refund Processing: Customer Service representatives are not authorised to process refunds within Order Management. This function is reserved for users with higher access levels, such as admins, managers, or accountants, to ensure proper financial control.
Stockholder
Stockholders, as the beneficiaries and owners of the business, have a vested interest in the operations and performance of the business. Within the menumiz™ ePOS system, they are granted access that allows them to oversee the business effectively:
- Business Insights: Stockholders can view financial and operational reports, gaining valuable insights into the restaurant’s performance.
- Strategic Oversight: Their access is primarily for strategic oversight and decision-making, rather than involvement in daily operational tasks like order processing or payment handling.

- Integration with Reporting Components: These devices are integrated with reporting components of the system, such as financial and sales reports, to facilitate informed business decisions.
Limitations for Stockholders
- Restricted Daily Operations: Stockholders may have limited access to the system’s daily operational functions, as these are usually managed by the waitstaff and management team.
- System Configuration: Stockholders do not typically have the ability to change system settings or configurations, which are managed by the Account Owner or designated admins.
Stockholders is the beneficiary and business owners. They have the below access level:
- Reports: Access to financial and operational reports.
- menumiz™ Pay: Full access to the payment system.
- Digital Menu Management: Ability to manage the digital menu.
- Discount Vouchers: Issue and manage discount vouchers.
- Reviews: View customer reviews.
- menumiz™ Page: Access the menumiz™ Page for business insights.
- User Management: Manage user roles, excluding the addition or removal of admins.
- Business Profile Settings: Adjust settings related to the business profile.
- Business Settings: View and manage business settings.
- Billing: Oversee billing information.
- Subscription: Access subscription details (read-only).
MOAP Utility App
The MOAP role in the menumiz™ ePOS system is essential for managing the MOAP (Menumiz Order Auto Placer) feature, which facilitates the automated processing of orders. This role is pivotal in ensuring that orders are automatically processed within a predetermined grace period, minimizing the need for manual input from waitstaff. It is also served as the central connection between order management, printers, and the kitchen. It is responsible for ensuring that orders from counter, at table side, or through contactless ordering are processed and communicated to the kitchen efficiently.
Key Responsibilities of the Load Handler:
- Central System Connection: The MOAP connects the order management system to printers and kitchen dockets, facilitating the flow of orders.
- Device Requirements: A device running the menumiz app, such as mobile phone or tablet, must be used for the MOAP role.
- Order Processing: The MOAP oversees the automated and manual retrieval of orders, ensuring they are sent to the kitchen or printer.
- Device Operation: At least one device assigned to the MOAP must be continuously active to maintain 24/7 uninterrupted order processing.
- Printer and Docket Management: The MOAP ensures that the printers and dockets is receiving and processing orders correctly, which is vital for the kitchen to fulfil orders efficiently.

Collection Screen Device
Devices designated as Collection Screen Devices in the menumiz™ ePOS system are configured to facilitate the display and management of orders as they are prepared and served. These devices have specific user level access tailored to their function which have access to essential features for order display without the capabilities to process payments or place orders.
User Level Access and Device Roles
- Customize Device Access: Configure Collection Screen Devices with the appropriate access to support their role in displaying and managing orders.
- Ensure Device Functionality: Maintain the operational status of these devices to ensure they can reliably display order information and support the serving process.
- Integrate with Order Management: Ensure that Collection Screen Devices are integrated with the order management system to provide real-time updates on order status.
Restrictions for Collection Screen Devices
- No Financial Transactions: Collection Screen Devices are not equipped to handle financial transactions, ensuring that payment processing is reserved for devices with the appropriate security measures.
- No Order Placement: These devices cannot place orders, focusing solely on the display and management of existing orders.
IMPORTANT NOTES:
- Order Management Restrictions: Representatives cannot access Order Management features that involve financial transactions, such as issuing refunds or managing tips.
- Discount Voucher Limitation: The use of discount vouchers is not available to Collection Screen Device representatives.
