Booking / Reservation Feature

Learn how to set up, create, view and manage restaurant bookings and reservations in Menumiz POS.

PART 1

Access the Booking Feature

  1. Log in to Menumiz POS.
  2. From the left-hand navigation bar, click the Booking / Calendar icon.
  3. The Booking menu will open with three main options.
Calendar

View reservations by date and time.

List

View and manage reservations in a list.

Settings

Configure booking availability and policies.

First-time setup: Select Booking → Settings.
PART 2

Set Up the Booking Feature

STEP 1

Activate Online Booking

Go to:
Booking → Settings
Under Status, locate Booking is live? Switch this ON to activate the booking/reservation feature.

When enabled, customers can make reservations according to the availability and rules configured by the restaurant.

STEP 2

Set the Booking Grace Period

Under Booking Schedule, select the Booking Grace Period.
Example: 1 Hour
The grace period determines how close to the requested booking time a reservation can be made.

For example, with a 1-hour grace period, customers must generally make their reservation at least one hour before the booking time.

STEP 3

Set How Far in Advance Customers Can Book

Select: Booking Restrict Date Into The Future Choose how far into the future customers are allowed to make reservations.
Example: 1 Day

Configure this according to how far ahead your restaurant wants to accept reservations.

PART 3

Configure Booking Days, Times and Capacity

Scroll to:
Add Booking Slots (Max 96 Slots)
Booking slots determine when customers are allowed to reserve tables.

Step 1 – Enable a Booking Day

Switch ON each day that your restaurant accepts reservations.
Sunday
Monday
Tuesday
Wednesday
Thursday
Friday
Saturday

Step 2 – Set the Booking Time

  1. Select the starting time.
  2. Select the ending time.
  3. Enter the booking Capacity.
Example 6:00 PM → 10:00 PM Capacity: 30
Capacity represents the number of guests/reservations your restaurant is prepared to accept for the configured booking period.

Step 3 – Add Additional Booking Slots

Click the + button beside the booking slot to add another time period. This is useful when the restaurant has separate booking periods.
Lunch 11:30 AM – 2:30 PM
Dinner 5:30 PM – 10:00 PM

Repeat the setup for each operating day.

PART 4

Configure Booking Notifications

Scroll to Booking Notifications.
Notification Email

Enter the email address under Notification Emails (Up to 10).

Press Enter after each address.

SMS Notification

Enter the restaurant’s mobile number under Notification SMS.

Use the correct international number format.

Note: SMS reminder will be sent 2 hours before the customer’s scheduled arrival time.
WhatsApp

Availability depends on the restaurant’s Menumiz plan and enabled features.

SMS Example: +60123456789
In the version shown, SMS is marked as Free During Early Access.
If WhatsApp displays Not Available in Your Plan, it cannot currently be configured for that account.

Configure Booking Terms and Policies

Menumiz allows the restaurant to specify important information customers should read when making a reservation.

1. Before Booking

Use the Before Booking section to explain important requirements customers should understand before confirming their reservation.
  • Customers must arrive at the selected date and time.
  • The restaurant may contact the customer using the provided phone number.
  • Reservations are subject to availability.

2. Reservation Policy

Use the Reservation Policy section to explain the restaurant’s booking rules.
  • How long the restaurant will hold a table.
  • Seating availability.
  • Changes to menu items or pricing.
  • Late-arrival conditions.
Example: If customers do not arrive within 15 minutes of their booking time, the restaurant may release the table to another customer.

3. Cancellation Policy

Use the Cancellation Policy section to explain what happens when a booking is cancelled.
  • Restaurant cancellation conditions.
  • Customer cancellation requirements.
  • How customers will be notified.
  • Any required notice period.

4. Save the Booking Settings

  1. Review all booking settings.
  2. Scroll to the bottom of the page.
  3. Click Update.
Done. The booking configuration is now saved.

View Reservations Using the Booking Calendar

Booking → Calendar
The Booking Calendar displays reservations according to their scheduled date and time.
Today Today’s bookings
Day One-day view
Week Weekly schedule
List List view
Refresh Refresh data
← / → Change date
Add New reservation

The timeline allows staff to quickly see when reservations are scheduled throughout the day.

PART 7

Manually Create a Reservation

Reservations can be manually entered by restaurant staff.
Booking → Calendar → Add
Clicking Add opens the Create Booking page.

Step 1 – Enter the Customer’s Name

Enter the customer’s name under Name*. This is a required field.

Step 2 – Enter the Customer’s Mobile Number

Enter the customer’s contact number under Mobile Number*. This is a required field and may be used to send the customer a booking confirmation. Make sure the mobile number is entered correctly.

Step 3 – Enter the Customer’s Email

Enter the customer’s email under Email (Optional).

Step 4 – Enter the Number of Guests

Enter the total number of guests under PAX(ES)*.
Example: 2 guests
Example: 6 guests
PART 8

Select the Reservation Date and Time

Click Reservation Date*.
  1. Select the required date from the calendar.
  2. Select the required reservation time.
  3. Confirm the selected date and time.
  4. Click OK.
Example: 20/08/2026, 12:00 PM
PART 9

Select the Purpose of the Reservation

Under Purpose*, select the reason for the booking.
Birthday
A Date
Business Meeting
Family Time
General
Others

PART 10

Add Special Requests

Under Any Special Request (Optional), enter any special request made by the customer.
  • Window table preferred.
  • High chair required.
  • Birthday celebration.
  • Wheelchair-accessible seating.
  • Dietary requirement.
  • Quiet table requested.
PART 11

Add Internal Notes

Under Notes (Optional), restaurant staff can enter additional information regarding the reservation.
Example: Regular customer – prefers table near the window.

Use this section for information staff may need when handling the reservation.

PART 12

Submit the Reservation

Before submitting, confirm:
✓ Customer details
✓ Number of guests
✓ Booking date and time
✓ Reservation purpose
✓ Special requests
✓ Internal notes
Once everything has been checked, click Submit.
The reservation will then be added to the Menumiz booking system.
PART 13

View and Manage Booking Records

Booking → List
This opens Booking Management.
Active

Displays current or active reservations.

Archive

Displays archived booking records.

Searching for a Reservation

  1. Use Lookup by Name.
  2. Enter the customer’s name.
  3. Click Search.
Select More Filter for additional filtering options.

Click Reset to clear the search filters.

Booking List Information

The Booking Lists table can display:
Status
Booking Code
Name
Type
Purpose
Pax
Booking Date
Modified By
Modified Date
Actions
This allows restaurant staff to quickly identify and manage customer reservations.

Select Calendar to return to the Booking Calendar, or select Add to manually create another reservation.

RECOMMENDED PROCESS

Daily Booking Workflow

Before Service
  • Check Booking → Calendar.
  • Review today’s reservations.
  • Check total guest numbers.
  • Review special requests.
  • Prepare tables accordingly.
Phone / Walk-In Booking

Booking → Calendar → Add → Customer Details → Date & Time → Purpose → Submit

During Service

Use the Calendar or Booking List to check arriving guests and reservation details.

Find a Customer

Booking → List → Lookup by Name → Search

IMPORTANT

Booking Notes

  • Make sure Booking is live? is switched ON before allowing customers to make reservations.
  • Always configure the correct booking days, times and capacity.
  • Keep notification email addresses and mobile numbers updated.
  • Clearly state the restaurant’s reservation and cancellation policies.
  • Verify the customer’s mobile number before submitting a booking.
  • Check PAX, booking date and booking time carefully before confirming.
  • Review the Booking Calendar regularly during service to avoid missed reservations or overbooking.
